Tags help you organise and categorise candidates in your RefNow account. You can add multiple tags to each candidate to make them easier to find and filter later.
Where to Find Tags
Tags appear in the candidate sidebar when viewing a candidate's details. The tags section is located below the candidate's basic information.
Adding Tags to a Candidate
Open the candidate's details by clicking on their name from the Requests page
In the candidate sidebar, locate the Tags section
Click the plus icon (+) button next to the tags area
A popover menu will open showing all available tags for your organisation
Click the checkbox next to any tag you want to add to the candidate
The tag will immediately appear as a coloured chip below
Adding Multiple Tags
You can add multiple tags to a single candidate. Simply check multiple boxes in the tag menu. Each tag will appear as a separate coloured chip.
Removing Tags from a Candidate
Click the plus icon (+) button to open the tag menu
Find the tag you want to remove (it will have a checked checkbox)
Click the checkbox to uncheck it
The tag will immediately disappear from the candidate's tag list
Understanding Tag Display
Coloured chips: Each tag appears as a small coloured chip showing the tag name
Tag colours: Tags use the colours assigned when they were created
Empty state: If a candidate has no tags, you'll see a message saying "Click the plus icon to add/remove tags"
Best Practices
Use consistent tagging: Apply the same tags to similar candidates to make filtering more effective
Don't over-tag: Too many tags can make it harder to find candidates. Use 3-5 relevant tags per candidate
Use descriptive tags: Choose tags that clearly indicate what they represent (e.g., "Engineering", "Senior Level", "Priority")
Update tags regularly: Keep tags current as candidate status or roles change
Using Tags to Filter Candidates
Once you've tagged candidates, you can use the tag filter on the Requests page to quickly find all candidates with specific tags. This makes it easy to:
Find all candidates in a specific department
Identify high-priority candidates
Group candidates by role level
Organise candidates by any custom category
Troubleshooting
I don't see any tags available
If the tag menu shows "No tags have been created for your organisation yet", you'll need to create tags first. Only Super Admins can create tags from the My Organisation settings page. Contact your Super Admin to create tags for your organisation.
Tag won't add
If a tag doesn't appear after checking the box, try:
Refreshing the page
Checking your internet connection
Contacting support if the issue persists.
