Cloning a Question Profile

Cloning a question profile allows you to create a copy of an existing profile with all its questions and settings. This is useful when you want to create a similar profile without starting from scratch, or when you need variations of a profile for different teams or purposes.

When to Clone a Profile

Cloning is useful when:

  • You need a similar profile for a different team or department

  • You want to create variations of an existing profile

  • You need to test changes without modifying the original profile

  • You want to use an existing profile as a starting point for a new one

How to Clone a Profile

  1. Navigate to Question Profiles from the main menu

  2. Open the question profile you want to clone by clicking on its name

  3. In the profile header (top of the page), click the "Clone" button

  4. A dialog box will open with cloning options

Cloning Options

When cloning, you'll need to provide:

1. New Profile Name

Enter a unique name for the cloned profile. This is required and helps you distinguish it from the original profile.

Tip: Use descriptive names like "Engineering Profile - Team B" or "Sales Profile - Updated" to make it clear what the cloned profile is for.

2. Team

Select which team the cloned profile should belong to. This determines which team members can access and use the profile.

Note: You must select a team - this field is required.

3. Include Customisations

This checkbox determines whether to copy customisations along with the profile:

  • Checked (default): Clones all email templates, branding, and question profile settings associated with the original profile

  • Unchecked: Creates a basic copy with only the questions, without custom email templates or branding

What gets cloned when customisations are included:

  • All questions and their settings

  • Question order

  • Email templates

  • Branding settings

  • Question profile settings

Completing the Clone

  1. Enter a name for the new profile

  2. Select the team

  3. Choose whether to include customisations (recommended: leave checked)

  4. Click "Clone Profile" to create the clone

  5. Wait for the cloning process to complete (you'll see a loading indicator)

  6. A success message will appear when cloning is complete

After Cloning

Once cloning is complete:

  • The cloned profile will be created and saved

  • You'll be automatically redirected to the new cloned profile

  • The cloned profile will appear in your Question Profiles list

  • You can now edit the cloned profile independently without affecting the original

What Gets Cloned

Always Cloned

  • All questions and their text

  • Question types (text, dropdown, radio, etc.)

  • Answer options for dropdown and radio questions

  • Question order

  • Required field settings

  • Reference type settings (Professional, Personal, Academic, Candidate)

Cloned Only If "Include Customisations" Is Checked

  • Email templates

  • Branding settings

  • Question profile settings

  • Other customisations

Best Practices

  • Use descriptive names: Name your cloned profiles clearly so you can easily identify them later

  • Include customisations: Unless you specifically need a basic copy, keep "Include customisations" checked to maintain consistency

  • Review after cloning: After cloning, review the new profile to ensure everything copied correctly

  • Edit as needed: Make any necessary changes to the cloned profile to suit your needs

  • Test before using: Preview the cloned profile before using it for reference requests

Important Notes

  • Independent copies: The cloned profile is completely independent from the original. Changes to one won't affect the other

  • Team access: The cloned profile will only be accessible to the team you select during cloning

  • Cannot undo: Cloning cannot be undone, but you can delete the cloned profile if needed

  • Unique names required: Profile names must be unique within your account

Troubleshooting

Clone button is not visible

If you don't see the Clone button:

  • Make sure you've opened a question profile (not just viewing the list)

  • Check that you have permission to clone profiles

  • Try refreshing the page

Clone fails

If cloning fails:

  • Check that you've entered a profile name

  • Ensure the profile name is unique

  • Verify you've selected a team

  • Try again - sometimes temporary issues can cause failures

  • Contact support if the issue persists

Cloned profile is missing content

If the cloned profile seems incomplete:

  • Check if you unchecked "Include customisations" - this would exclude email templates and branding

  • Verify the original profile had all the content you expected

  • Try cloning again with "Include customisations" checked
