Adding Comments to Candidates

Written by Poppy Wooddissee

Comments allow you to add internal notes and observations about candidates. These notes are only visible to your team members and are not shared with candidates or referees.

Where to Find Comments

Comments are located in the candidate sidebar when viewing a candidate's details. Look for the "Comments" section with a chat icon, which appears below the candidate's basic information.

Adding a Comment

  1. Open the candidate's details by clicking on their name from the Requests page

  2. In the candidate sidebar, locate the "Comments" section

  3. If the section is collapsed, click on it to expand it

  4. You'll see a text field with a placeholder that says "Add a comment..."

  5. Type your comment in the text field

  6. Submit your comment using one of these methods:

    • Press Enter (without Shift) to submit

    • Click the send icon (paper plane) on the right side of the text field

Comment Features

Multi-line Comments

The comment text field supports multiple lines:

  • Press Shift + Enter to add a new line without submitting

  • The text field automatically expands as you type (up to 5 rows)

  • Press Enter alone to submit the comment

Comment Display

Once posted, comments appear with:

  • Author avatar: A coloured circle showing the comment author's initials

  • Author name: The full name of the person who posted the comment

  • Comment text: The actual comment content

  • Timestamp: The date and time the comment was posted (e.g., "15 January 2024, 14:30")

Comment Order

Comments are displayed in reverse chronological order, with the most recent comments appearing at the top of the list.

Important Notes

  • Internal only: Comments are not visible to candidates or referees. They are for internal team communication only

  • Team visibility: All team members with access to the candidate can see and add comments

  • Persistent: Comments are saved permanently and remain with the candidate record

  • No editing: Once posted, comments cannot be edited or deleted

Best Practices

  • Be clear and concise: Write comments that will be useful to other team members

  • Include context: Mention relevant details like dates, names, or specific situations

  • Use for important notes: Reserve comments for information that's important for the team to know

  • Update regularly: Add comments when there are important updates or changes related to the candidate

  • Professional tone: Keep comments professional and appropriate for team viewing

Common Use Cases

Comments are useful for:

  • Status updates: Note when a candidate's status changes or important milestones are reached

  • Team coordination: Share information with team members who may be working with the same candidate

  • Important reminders: Note follow-up actions or important dates

  • Context and background: Provide additional context that might not be in the formal candidate record

  • Communication history: Keep a record of important conversations or decisions
